Job Description:
- Office Management: Organize and maintain office systems, supplies, and general workplace environment to ensure efficiency and orderliness.
- Scheduling & Coordination: Arrange meetings, appointments, and travel for team members. Coordinate internal and external meetings, prepare agendas, and take minutes.
- Communication: Serve as the point of contact for incoming calls, emails, and correspondence, and provide prompt and courteous responses to clients and stakeholders.
- Document Handling: Manage filing systems, process incoming/outgoing mail, and handle confidential information securely.
- Data Entry & Reporting: Maintain databases, update records, and generate reports as needed to support management and operational decisions.
- Support Services: Assist other departments with administrative needs, including data entry, document preparation, and general clerical tasks.
- Customer Service: Greet visitors and clients, providing a friendly and professional first impression of the company.
- Education: High school diploma or equivalent required; an Associate’s or Bachelor’s degree in a related field is a plus.
- Experience: 1-3 years of administrative or office experience preferred.
- Skills:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Ability to handle confidential information with discretion
- Basic knowledge of office equipment (printers, copiers, scanners)
