Job Description:

The Administrative Assistant will be responsible for supporting day-to-day operations, maintaining office systems, and ensuring effective communication throughout the organization. This role requires exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:
  • Office Management: Organize and maintain office systems, supplies, and general workplace environment to ensure efficiency and orderliness.
  • Scheduling & Coordination: Arrange meetings, appointments, and travel for team members. Coordinate internal and external meetings, prepare agendas, and take minutes.
  • Communication: Serve as the point of contact for incoming calls, emails, and correspondence, and provide prompt and courteous responses to clients and stakeholders.
  • Document Handling: Manage filing systems, process incoming/outgoing mail, and handle confidential information securely.
  • Data Entry & Reporting: Maintain databases, update records, and generate reports as needed to support management and operational decisions.
  • Support Services: Assist other departments with administrative needs, including data entry, document preparation, and general clerical tasks.
  • Customer Service: Greet visitors and clients, providing a friendly and professional first impression of the company.
Requirements:
  • Education: High school diploma or equivalent required; an Associate’s or Bachelor’s degree in a related field is a plus.
  • Experience: 1-3 years of administrative or office experience preferred.
  • Skills:
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Ability to handle confidential information with discretion
  • Basic knowledge of office equipment (printers, copiers, scanners)
  • Attributes: Self-motivated, detail-oriented, and able to work independently as well as part of a team.
