The Personal Assistant/Executive Assistant will play a vital role in supporting the Managing Director in managing their daily activities, ensuring efficient operations, and facilitating communication with internal and external stakeholders. This position requires strong administrative skills, excellent communication abilities, and the ability to multitask effectively in a fast-paced environment.

Key Responsibilities:

  • Maintain and organize the calendar of the Managing Director, scheduling appointments, meetings, and travel arrangements efficiently.
  • Handle travel plans, visa processing, and hotel booking arrangements for the Managing Director, ensuring seamless travel experiences.
  • Draft emails, letters, and other correspondence on behalf of the Managing Director, maintaining professional communication standards.
  • Assist with filling in bank forms, managing office administrative tasks, and handling confidential documents with discretion.
  • Arrange meetings, coordinate logistics, and prepare meeting agendas and materials as required. Capture meeting minutes and ensure timely circulation and follow-up on action items.
  • Maintain the Managing Director's personal papers, records, and files, organizing them in a systematic and secure manner.
  • Handle parcel deliveries for the Managing Director, ensuring prompt receipt and delivery of packages.
  • Conduct research on various topics as assigned by the Managing Director, providing insightful analysis and recommendations.
  • Manage and reconcile expense claims for the Managing Director, ensuring accuracy and compliance with company policies.
  • Demonstrate analytical skills in evaluating information, identifying trends, and providing valuable insights to support decision-making processes.
  • Proficiency in advanced Microsoft Excel and Word functions to create reports, analyze data, and produce high-quality documents.

Qualifications and Skills:

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior executives.
  • Excellent organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
  • Strong communication and interpersonal abilities, both verbal and written, with a professional demeanor.
  • High level of discretion and confidentiality in handling sensitive information and matters.
  • Proficiency in research methods and analytical skills to gather and evaluate information.
  • Advanced proficiency in Microsoft Excel and Word, including the ability to create complex spreadsheets and documents.
  • Ability to work independently with minimal supervision while also collaborating effectively with team members.
  • Flexibility to adapt to changing priorities and deadlines in a dynamic work environment.
