Personal Assistant Experienced in Real Estate/ Construction Industry

Job Description:
We are looking for a smart & responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to Chairman’s Business life and communication. Fixing various appointments, following up with task given to others by Chairman, arranging various things.
No travel expected as part of your job outside of Dubai.

Duties & Responsibilities:
1.    Administrative Support: Providing comprehensive administrative support to the executive, including managing their calendar, scheduling appointments, arranging meetings, and coordinating travel arrangements.
2.    Correspondence Management: Handling incoming and outgoing communications on behalf of the executive, including emails, phone calls, and written correspondence. Drafting, proofreading, and editing documents, letters, reports, and presentations.
3.    Meeting Coordination: Planning and organizing meetings, conferences, and events. Preparing agendas, taking meeting minutes, and distributing them to relevant participants. Coordinating logistics, such as booking meeting rooms, arranging audio-visual equipment, and catering.
4.    Information Management: Managing and organizing information and documents, both electronic and physical. Creating and maintaining filing systems, databases, and records. Ensuring easy retrieval and confidentiality of sensitive information.
5.    Relationship Management: Building and maintaining effective relationships with internal and external stakeholders, including clients, colleagues, and business partners. Serving as a liaison between the executive and other team members, departments, and external contacts.
6.    Research and Analysis: Conducting research, gathering data, and preparing reports or summaries for the executive's review. Providing insightful analysis and recommendations to support decision-making processes.
7.    Project Support: Assisting in the planning, execution, and monitoring of projects. Coordinating project activities, tracking progress, and ensuring deadlines are met.
8.    Confidentiality and Discretion: Maintaining strict confidentiality and exercising discretion when handling sensitive and confidential information. Upholding professional ethics and integrity.
9.    Office Management: Overseeing the smooth operation of the executive's office. Ordering and managing office supplies, maintaining equipment, and coordinating with IT support when needed.
10.    Miscellaneous Tasks: Handling miscellaneous tasks and ad-hoc projects as assigned by the executive. Providing general administrative support to the executive's team as needed.

Requirements:
•    Minimum 5 years proven work experience as a Personal Assistant to high net worth individual in Dubai
•    Knowledge of office management systems and procedures
•    MS Office and English proficiency
•    Outstanding organizational and time management skills
•    Up-to-date with latest office gadgets and applications
•    Ability to multitask and prioritize daily workload
•    Excellent verbal and written communications skills
•    Discretion and confidentiality
