Description

Position Overview:

The Purchase Executive – Marketing is responsible for managing all procurement activities related to marketing and branding requirements — including sourcing, vendor management, quotation analysis, and coordination with internal stakeholders. The role ensures timely availability of marketing materials, services, and campaigns while maintaining cost efficiency, compliance, and quality standards.
The ideal candidate should possess strong negotiation skills, attention to detail, and experience working with marketing, events, and creative vendors.
Key Responsibilities:
Procurement & Sourcing
Handle end- to- end purchasing for marketing requirements such as printing materials, promotional items, advertising services, digital campaigns, and events.
Identify, evaluate, and onboard vendors, ensuring adherence to quality, cost, and delivery standards.
Request and compare quotations, prepare cost analyses, and negotiate pricing and terms.
Ensure all purchases comply with company policies and budgetary guidelines.
Vendor & Stakeholder Management
Maintain strong relationships with marketing vendors, agencies, and suppliers.
Coordinate with the Marketing and Branding teams to understand project timelines and requirements.
Monitor vendor performance and ensure timely delivery of materials and services.
Resolve discrepancies, quality issues, or delays proactively.
Documentation & Compliance
Prepare purchase requests (PR), purchase orders (PO), and related documentation in the ERP or procurement system.
Ensure accuracy of specifications, delivery terms, and invoicing details.
Maintain vendor database, pricing records, and purchase history for audit and reference.
Support internal audits and ensure compliance with procurement and financial policies.
Budgeting & Cost Control
Support the marketing department in planning and monitoring budgets for campaigns and events.
Seek cost- saving opportunities through competitive sourcing and long- term vendor contracts.
Track and report marketing procurement expenses periodically.
Cross- Functional Coordination
Collaborate closely with the Finance team for payment processing and vendor reconciliations.
Liaise with Logistics, Admin, and other departments for delivery coordination and approvals.
Assist in planning procurement schedules aligned with marketing calendars.
Qualifications & Experience:
Bachelor’s degree in Business Administration, Supply Chain, Marketing, or related field.
3–5 years of experience in purchasing or procurement, preferably within marketing, healthcare, or corporate environments.
Familiarity with marketing materials, printing, media, and event procurement.
Proficiency in MS Office and ERP/procurement systems.
Strong negotiation, analytical, and organizational skills.
Excellent communication skills in English (Arabic is an advantage).
