1. JOB PURPOSE
The Project Manager is responsible for pitching for new tenders, preparing Technical and Commercial Proposals, Client Facing, and delivery stage of the assigned projects/RFPs by Class Act.
2. JOB ACCOUNTABILITIES
1 PITCHING PHASE
• Tender Review: Analyze the assigned Tender/RFP and formulate appropriate and relevant queries to seek clarifications from the client, including branding guidelines, floor plans, and technical aspects necessary for preparing a competitive technical and commercial proposal.
• Client Communication: Maintain regular communication with clients to build strong relationships and gain a deeper understanding of their quality and budget expectations.
• Brief Designers: Provide clear, concise briefs to designers, outlining project objectives, client requirements, and key deliverables.
• Create Mood Boards: Develop and present mood boards to guide the creative process and align design concepts with project vision.
• Creative Oversight: Collaborate closely with designers to ensure their creative direction aligns with client expectations regarding aesthetics, functionality, and brand identity.
• Cost and Production Alignment: Monitor design progress to ensure it adheres to budget constraints and production feasibility, making necessary adjustments to meet cost and manufacturing requirements.
• Project Updates: Provide management with updates on received clarifications to initiate project design.
• Supplier Quotations: Obtain a minimum of three quotations from different suppliers for the same service.
• Timeline and Strategy: Collaborate with management to establish timelines and strategies for obtaining designs, technical specifications, and costs to ensure timely tender submission.
• Team Delegation: Delegate responsibilities among team members in consultation with management to meet submission deadlines.
• Proposal Preparation: Prepare technical and commercial proposals for each assigned project, adhering to Class Act standards. Detail sizes and materials based on obtained technical specifications.
• Cost Review and Negotiation: Review all provided costs for the commercial proposal, negotiate with suppliers to reduce costs, and include estimates for freelancers, accommodation, and transportation expenses.
• Proposal Submission: Submit technical and commercial proposals to the Client, upon final approval from management.

CLIENT FACING & NETWORKING
• Strengthen relationships with existing clients through regular communication and exceptional service.
• Approach new clients to expand business opportunities and foster growth.
3 Event Confirmation & Delivery
• Budget Finalization: Finalize budget details with the client following management approval.
• Client Confirmation: Obtain the LPO and official confirmation from the client before commencing project preparations/setup.
• Artwork and Design Approvals: Coordinate with the client to obtain written approvals for final artworks and designs.
• Team Formation: Formulate an in-house and freelancer team (where necessary), create the shift schedule, subject to final approval from management.
• Project Briefing: Brief the assigned project team in advance, ensuring clarity on job tasks and responsibilities.
• Deliverables Finalization: Finalize project deliverables with the production manager and senior operations officer.
• Technical Drawings: Coordinate with the Management to finalize the technical drawings.
• Production Supervision: Supervise the production process in collaboration with the Production Manager.
• Permits Acquisition: Ensure all necessary event and access permits are obtained.
• Health and Safety Compliance: Ensure compliance with all health and safety measures on-site.
• Project Oversight: Oversee the entire project buildup and execution.

Post Event Responsibilities
• Post-Event Review: Conduct post-event reviews to analyze project success, gather client feedback, and identify areas for improvement.
• Post-Event Report:
Prepare a comprehensive post-event report detailing the event execution, challenges encountered, and recommendations for future projects. The report should provide insights and actionable feedback to improve client satisfaction and project outcomes.
5 Additional Responsibilities
• Risk Management: Identify potential risks associated with each project and develop mitigation strategies.
• Project Tracking: Utilize project management tools to track progress, monitor timelines, and ensure project milestones are met.
• Quality Assurance: Implement quality assurance processes to ensure all deliverables meet client expectations and Class Act standards.
Team Development: Mentor and develop team members to enhance their skills and performance.
